Applicant Privacy Policy

This policy sets out how we will handle the Personal Data of applicants.

1.00   INTRODUCTION

1.01   This Privacy Policy applies to you if you are applying to work with us, whether as an Employee, Partner or Contractor.  As part of any recruitment drive, we collect and process Personal Data relating to applicants.  We are committed to being open and transparent about how we collect, process and store Personal Data relating to recruitment and to meeting our legal Data Protection obligations.​

2.00   ACCESSIBILITY

3.00   DATA COMPLIANCE

3.01   We will comply with all Data Protection laws and guidance, which means your Personal Data will be:
a.  used lawfully, fairly and transparently;
b.  collected only for the purpose of validating your recruitment application;
c.  accurate and updated as required;
d.  kept only for the time required to assess and process your application;
e.  kept securely stored at all times; and
f.  securely destroyed when no longer required.

4.00   WHAT DATA DO WE HOLD

4.01   We may collect a wide range of different information from you, depending on what position you are applying for, this may include:
a.  name, current address and previous address if you recently moved;
b.  general contact details such as telephone number, email address, etc;
c.  details of qualifications, experience and employment history;
d.  details of current remuneration, bonuses and benefits;
e.  any disabilities for which we may need to make adjustments if your successful;
f.  details of any spent or unspent criminal convictions; and
g.  confirmation of your entitlement to work in the UK.

5.00   HOW WE COLLECT DATA

5.01   We may collect a wide range of different information from you, depending on what position you are applying for, this may include:
a.  you, the applicant;
b.  credit reference agencies;
c.  your application form;
d.  recruitment agencies;
e.  your CV;
f.  references from your previous employers;
g.  your interview; and
h.  background and criminal record checks.

6.00   STORING DATA

6.01   If your application is successful, your Personal Data will be stored on your Employment Record through our HR Department on secure IT servers.  This information will be kept for the entire period that you remain working for us and will be updated annually.

6.02  If your application is not successful, we will hold your Personal Data on file for up to six (6) Calendar Months after the recruitment drive is closed.  This will be kept should another position become available.  After the six (6) Calendar Month period it will be securely destroyed.

6.03  If your application is not successful, we will only keep your Personal Data on file if you have given us permission to do so, if you have not given us permission, we will securely shred your Personal Data as soon as the recruitment drive is closed.

7.00   PROCESSING DATA

7.01   We need your Personal Data to be able to make a decision on whether you are suitable for our employment as well as complying with our legal obligations.

7.02  We have a legitimate business interest in processing your Personal Data, both during the recruitment drive, as well as storing it on record, should you be successful.  Processing your Personal Data allows us to manage, assess and confirm if a candidate is suitable for the vacant position.

7.03  We may also require to process Personal Data to respond to and defend against legal claims.

7.04  For some specific positions, we are legally obliged to find out if a candidate has unspent criminal convictions or offences.

8.00   WHO CAN ACCESS DATA

8.01   Your Personal Data and application will be shared internally between the Recruitment Team during the recruitment drive.  This can include the Recruitment Manager, Interviewers and HR Staff.

8.02  As part of our Recruitment process, your Personal Data will be stored on our secure HR Systems and may be shared with third party providers if the position requires checks to be made, such as health checks or background checks.

9.00   HOW WE PROTECT DATA

9.01   We take the security of your Personal Data extremely seriously and we have advanced internal policies and systems in place to ensure your Personal Data is not lost, misused, accidently deleted, or disclosed.

9.02  Our internal HR Systems are on a separate secure machine and only very limited members of staff have any access to that system via the secure passwords and codes.  This system is never connected to the internet, which means it is near-impossible for the system to be hacked from outside our organisation.

10.00   YOUR LEGAL RIGHTS

10.01   Under the Data Protection Act, you have the legal right to:
a.  be informed about the collect and use of your Personal Data;
b.  access and obtain a copy of your Personal Data;
c.  object to the legal processing of your Personal Data;
d.  receive your Personal Data in a structured, machine-readable format;
e.  request us to stop processing your Personal Data if the data is inaccurate or there is a dispute;
f.  request the restriction or suppression of your Personal Data, in certain circumstances;
g.  change or update incorrect or incomplete Personal Data; and
h.  request to delete or stop processing your Personal Data.

11.00   DATA REFUSAL

11.01   Personal Data requested by us as part of our recruitment drive is necessary to properly assess and consider your application to work with us.  For example, certain information such as proof of your right to work in the UK are mandatory by law.

11.02  We reserve the right to cancel your application at any time if you fail to provide us with the information we need to legally assess and process your application.

12.00   FEES

12.01   You will not have to pay a fee to access your Personal Data, or to exercise any of the other rights.  However, we may charge a reasonable fee if your request is unfounded, repetitive, or excessive.  Alternatively, we could refuse to comply with your request in these circumstances.

13.00   RESPONSE TIMES

13.01   We try to respond to all legitimate requests within one (1) Calendar Month.  Occasionally it could take us longer than a Calendar Month if your request is particularly complex or you have made a number of requests.  In this case, we will notify you and keep you updated.
